Summary of Role
As a Despatch Coordinator, you'll play a key role in ensuring the accurate and efficient administration of customer despatches within a fast-paced FMCG environment. In this role, you'll prepare despatch documentation, monitor retailer compliance requirements, process Proof of Delivery (POD) records, and investigate customer claims relating to shortages and despatch discrepancies. Working closely with the despatch, transport, and customer service teams, you'll help ensure products are despatched accurately and on time while maintaining the highest standards of accuracy, compliance, and customer service.
Main tasks and Responsibilities
Main Tasks: (Brief outline and not exhaustive list)- Prepare and process despatch documentation accurately and on time.
- Ensure all customer orders are despatched with the correct paperwork.
- Obtain, record and maintain Proof of Delivery (POD) documentation.
- Monitor retailer portals to confirm deliveries and maintain customer compliance.
- Investigate and resolve customer delivery queries, shortages and claims.
- Liaise with warehouse, transport and sales teams to resolve despatch issues.
- Maintain accurate records of claims, investigations and despatch documentation.
- Identify recurring issues and escalate where appropriate to support continuous improvement.
Requirements
- Previous experience in an administrative role, ideally within a fast-paced environment.
- Strong IT skills, with proficiency in Microsoft Office and experience using business systems.
- Excellent written and verbal communication skills, with a high standard of spoken and written English.
- Experience communicating professionally with customers or clients by telephone.
- Excellent organisational skills, with exceptional accuracy and attention to detail.
- Strong problem-solving skills, with the ability to use initiative and make informed decisions.
- Ability to prioritise workloads, work accurately under pressure, and meet deadlines.
- A proactive, flexible approach with the ability to work effectively as part of a team and independently.
