Summary of Role
The Purchasing Coordinator is responsible for supporting the procurement function by coordinating the sourcing and purchasing of raw materials, ingredients, and packaging required for production. Working closely with the Purchaser, the role assists in ensuring continuity of supply, effective cost control, and compliance with company quality and sustainability standards. The role provides administrative and operational support across purchasing activities, including supplier communication, order processing, and maintaining accurate procurement records, contributing to the efficient operation of the supply chain within Hughes Group.
Main tasks and Responsibilities
Main Tasks: (Brief outline and not exhaustive list)- Support the sourcing and purchasing of raw materials, ingredients, and packaging to meet production requirements.
- Assist with raising and managing purchase orders, tracking deliveries, and resolving discrepancies using the ERP system (Rubicon).
- Maintain accurate purchasing and supplier records, ensuring data integrity at all times.
- Liaise with suppliers regarding pricing, lead times, delivery schedules, and material availability.
- Support supplier performance reviews and help maintain strong supplier relationships.
- Monitor stock levels and collaborate with production and planning teams to help prevent stockouts or excess inventory.
- Assist with cost tracking, purchasing reports, and basic KPI analysis.
- Support new product launches by helping source ingredients and packaging and coordinating with internal teams.
- Ensure procurement activities align with food safety standards, ethical sourcing policies, and vegan certification requirements.
- Monitor market trends and pricing with guidance from the Purchaser.
Requirements
- Degree (or studying towards a degree) in Business, Supply Chain, Procurement, or a related field OR relevant purchasing/administrative experience
- Strong organisational skills with excellent attention to detail
- Good numerical and analytical ability
- Strong communication skills and confidence liaising with suppliers and internal stakeholders
- Proficiency in Microsoft Office (Excel, Word, Outlook)
